Introduction

Welcome to your Progress Report for Oxonmoot 2009, and an especially warm welcome to those coming to their first Oxonmoot! Within these pages you will find information on how to get to Oxonmoot this year, and information about the environs and event that you will need when you get there - so please remember to bring this booklet with you!

Oxonmoot is an annual event run by The Tolkien Society. It takes place in Oxford, the university city that was for many years the home of Professor Tolkien and his family, and is traditionally held in September. The first Oxonmoot took place in 1974, the year after Tolkien died, and consisted of around 15-20 people.

Over the years, the venues and accommodation have varied from public houses and hotels such as the Welsh Pony, the Turf Tavern, the Eastgate Hotel and the Cotswold Lodge Hotel, to Oxford’s Town Hall, and Oxford University colleges such as Pembroke, Exeter, and, in more recent years, St Antony’s, St Hilda’s, St Hugh’s, St Peter’s and Christ Church.

This year’s Oxonmoot is being held at Lady Margaret Hall from Friday 25th to Sunday 27th September 2009. The main entrance (see front cover) is at the end of Norham Gardens, postcode OX2 6QA. There is a section in this booklet on how to get there by various means.

Lady Margaret Hall is the college at which the Tolkien Society's founder, Vera Chapman (Belladonna Took) was a student in the comparatively early days of women's acceptance at Oxford. Close to the River Cherwell, it is well known for its gardens, and (fine weather permitting) we hope to have the Saturday evening barbecue supper on the outdoor terrace.

We have a few details of the timetable in this booklet. A full timetable, the event rooms, and a map, will be provided in Oxonmoot Information booklet (OI) that you will receive when you register on arrival.

This progress report also contains a restaurant guide, the latest list of those attending, and contact details for the subcommittee. There is also the “serious bit” covering various rules and regulations, and important information for those attending Oxonmoot.

The Venue

College accommodation: those staying in rooms in college can pick up their room keys from 2 pm onwards on the day of their first night of booked accommodation (usually Friday 25th September). Those staying in college will have to vacate their rooms and return the keys on Sunday morning by 9am (unless we negotiate a reprieve, but don’t count on it!) - YES, THAT’S WHEN BREAKFAST FINISHES,so we advise getting your luggage ready to move before breakfast even if you are not planning to move out of your room till you have had breakfast - unless Sunday night has also been booked. The college will be providing a secure left-luggage room all day on Sunday. Please make sure you have deposited your luggage and returned your key to the Porter’s Lodge before departing for Enyalië.Attendees will be charged for late return or non-return of room keys and building entrance fobs (not particularly cheap!)

College meals: apart from breakfast on the Saturday and Sunday (for those staying in college), there are three other meals taking place in college: the Friday welcome dinner, Saturday lunch (buffet), and Saturday supper (barbecue). All these meals need to have been booked in advance - meal tickets for booked mealswill be found in your registration pack. If you haven’t already notified the Booking Officer of special dietary needs, please do so as soon as possible. (Contact details on page 16). See below for meal times.

Bar times:On both Friday and Saturday the bar is open 6pm-midnight. The Sunday bar will be open 11.30am till 2pm. (Note there is no lunch available in College on Sunday.)

Event breaks and mealtimes: There are usually no formal events on Friday, though there is often a Telerin Circle after dinner. Saturday: there will be a daytime break from 1pm to 2.30pm, and again between the end of daytime events (usually around 5.30pm - see your OI and timetable) and the start of the party at 8pm. Please note that it is a bit of a walk to the nearest outside restaurants and cafes so leave yourself plenty of time if you have not booked a meal in college.

Breakfast for those staying in college will be 8am - 9am on both Saturday and Sunday. The pre-booked Friday welcome dinner is 7.30pm for 8pm (typically ending around 10.30). On Saturday, those who have booked a buffet lunch should aim to be there soon after 1pm. Likewise, if you are having the barbecue supper, aim to be there soon after 6pm.

If there are any problems with your booking, please contact the Booking Officer urgently (contact details on page 16). We also need to know definite numbers for the Enyalië coaches on Sunday so if you haven’t asked for a coach ticket with your booking, let the Booking Officer know. Finally, car parking space will be very limited at Lady Margaret Hall - if you have a disability which makes remote parking impractical, please contact the Booking Officer.

For those who have not booked for meals, please see the restaurant guide for details of places to eat near the college and in nearby Summertown (20 minutes’ walk). For information about alternative accommodation, please see the contact numbers.

Join us!

If you are not yet a member of the Society and you join at Oxonmoot you will get a refund of the difference between the members’ and the non-members’ registration rate (£5). To qualify you must pay for your Society membership at Oxonmoot, and you must be a new member.

Getting To College

This year we are staying at Lady Margaret Hall (LMH), just to the north of the town centre. The college entrance is at the end of Norham Gardens (see map on page 13). LMH is about 500 metres (5-8 mins walk) from the nearest bus stops, marked B on the small map.

Please NOTE that local buses will not necessarily stop at the bus stops if a Stop button has not been pressed before you get to the next stop. If in doubt, consult the driver about where you are going when you get on - it’s not their job to guide you, but they are usually willing to help. Keep a careful watch for the landmarks mentioned. The Stop button should illuminate a sign at the front of the bus saying “stopping” or “bus stopping”.

There is no car parking available at the college except for those with certain special needs, as indicated on the booking form.

Most Oxford streets have controlled parking.On weekdays and Saturdays the area around LMH is divided between residents’ parking and short-term meter parking. In parts of Norham Manor the regulations lapse from Saturday at 1.30pm, or from Saturday at 10pm, until Monday morning - but these areas are limited and in demand. Otherwise assume parking on the street nearby is illegal. These rules are waived for blue badge holders.

Parking: The Park and Ride

This is Oxford’s main parking resource. Oxford has five car parks on the outskirts of the city. Buses run from these to (or through) the city centre. Some services run to the John Radcliffe Hospital and miss the city centre - avoid these!

Parking is now free at all Oxford Park and Ride car parks for 72 hours only.

The best car parks and bus routes for LMH are:

Pear Tree on the A44 Woodstock Road (Peartree Roundabout), north of the city.

Bus 300either to Redbridge via City Centre or City Centre:

Mon-Sat 0600-2315; between 0800 and 1830 every 8-10 mins; after 1915 every 30 mins.

Sun 0840-1845, every 15 mins from 1115

Limited stop service:the best stop for LMH is Canterbury Road.

Water Eatonon the A4165 Banbury Road, north of the city beyond Wolvercote Cemetery off the A4260. Bus service 500to City Centre: Mon-Sat 0700-1900 every 20 minutes.

NO SERVICE ON SUNDAY or weekdays after 1900 - if you need to get there outside bus operating times, Oxford Bus Company 2A and Stagecoach 7A stop outside the car park.

Limited stop service: the best stop for LMH is St Margaret’s Road. It’s then somewhat of a walk to the college.

Nearest landmark: the Cotswold Lodge Hotel on the left.

The last bus to Pear Tree from the City Centre on weeknights is 2330; on Sunday 1857.

The last bus to Water Eaton from the City Centre is at 1840.

If you are uncertain where the bus stop is, ask the driver’s advice - bus drivers in Oxford, particularly on the Park and Ride routes, are used to visitors.

From Oxford Railway Station

The taxi rank is located directly in front of the station.

The 14and 14Abuses run roughly half-hourly from 0620 until 1850 from the railway station. This service runs closest to LMH.

Buy a ticket for Bevington Road. The bus leaves the station forecourt and turns left into Frideswide Square. It takes several turns through the City Centre, eventually reaching St. Giles' which has four lanes, and trees along each side. At the north end it takes the right hand fork with St. Giles' church on the left. This is Banbury Road. The second stop on Banbury Road is Bevington Road. Look for the eight storey, concrete university engineering science building on the right and press the stop signal. There are traffic lights at the junction of Parks Road and Banbury Road and the bus goes past these and will stop after about fifty metres. Get off here. Look at the bus stop and it should say Bevington Road. Walk back to the traffic lights and cross over the road. After crossing turn right, left into Parks Road and left again into Norham Gardens. Walk along this to the end and you will see the entrance to LMH in front of you.

After 1850 there are no direct services to Banbury Road and it will be necessary to get a taxi or to walk further into the City Centre. Come out of the station, go down the steps and cross to the far side of the forecourt using the pedestrian crossing. Go right and head towards the station exit. In front is Frideswide Square, turn left and proceed up Hythe Bridge Street, passing the Royal Oxford Hotel to the left. Cross the river and head towards the pedestrian crossing. In front is George Street. Cross the road at the lights and proceed along George Street. Turn left at Debenhams into Magdalen Street and you will see five bus stops marked C1 to C5. Position yourself between C1 and C2 and get either a 2, 2A, 2B, 2C or 2D from C1 or a 7, 7A or 7B from C2. Get a ticket for Bevington Road and follow the instructions above.

From Oxford Coach Station

If you travel by most coach services then you will arrive at the coach station in Gloucester Green. To find a bus: after getting off the coach walk along the pavement at the front of the bus back the way the coach came in, and turn left onto George Street. Go up the street past The Old Fire Station to Debenhams. Turn left into Magdalen Street and get any of the 2 or 7 services from bus stops C1 and C2 as described above.

To find a taxi from the coach station, head along the alley next to Harvey’s sandwich shop, go into Gloucester Green (completely paved over and not at all green) and the taxi rank is straight ahead across the square. There are trolleys available - put in a £1 coin, which you get back at the taxi rank.

Arriving at the college by car

It is easiest to approach LMH from the north, along Banbury Road. On a UK road map this is the A4165 and is signposted Summertown. Head south and through Summertown (note the range of shops and restaurants). Go straight ahead until you see the Cotswold Lodge Hotel on the left. Turn left into Norham Road. Follow this until you see Fyfield Road on the right. Go along Fyfield Road to the end and turn left. You are looking at the entrance to LMH.

If you miss Norham Road, then Norham Gardens is the next (sudden) left after about 300 yards.

You can drop off passengers and luggage at the front gate but not leave your vehicle there for longer than it takes to disembark. If you need longer disembarkation time, eg if you have children or a lot of luggage, please contact Bookings for advice.

Premium parking

Secure overnight parking can be arranged at Gloucester Green underground car park for the normal tariff plus £5 - a stay of 24 hours would typically cost £29, and £35.30 on Saturdays. It’s not quite that simple. If you need to know more, contact the car park department during office hours.

Out of hours, seek the assistance of the duty officer at Gloucester Green car park. However we suggest that you arrange in advance and arrive in good time.

Lost? Call 07770 326270 and we will try to help you. (If your credit/money is running out and you have an EMERGENCY text us and someone will try to call you back. Or you can text the number of a phone booth if you are near one that accepts calls. This might not work, however, so don’t rely on it. Please don’t use this service casually, we can run out of credit too!)

Arrival

When you arrive, you will need to collect your room key (if you are staying in college) and collect your Oxonmoot registration pack. Room keys should be collected from the Porter’s Lodge, which is just inside the main entrance to Lady Margaret Hall (look to your right as you walk through the entrance archway - also visible on front cover photograph). The room keys should be available from 2 pm. To find the Oxonmoot Registration Desk from the Porter’s Lodge, walk out into the first quadrangle (rectangular courtyard) and head for the entrance to the building on the right-hand side of the quadrangle (Eleanor Lodge). Alternatively, look for signposts or ask the porters for directions. If you need to go straight to the Friday welcome dinner (7.30pm for 8pm), please ask for directions from the Porter’s Lodge. If you arrive early (before registration opens at 5.30pm), and have deposited your bags in your accommodation, you have the choice between finding a subcommittee member and volunteering to help set up, or taking the time to see the sights and bookshops of Oxford. See page 11 for the Oxford Tourist Information Office contact details.

Registration

Registration will take place in Eleanor Lodge, near the main entrance to the college - see previous section for directions. Registration will open at 5.30pm on Friday afternoon, and remain open until 7.30pm. It will re-open again for a short while from 10pm-10.30pm for late arrivals.A dedicated Registration table alongside for First Timers is planned.

Saturday morning registrations, and all enquiries during the event, should be made at the Ops Room (will be signposted from the main entrance). If you know you will be arriving late, please tell the Booking Officer (contact details on page 16), if you have not already done so.

Where possible, those giving talks are asked to register during the first hour (5.30pm-6.30pm), in case there are last-minute changes that need to be discussed.

When you arrive at the Registration Desk, tell us your name and you will receive a registration pack and a warm welcome! In your registration pack you should find:

Provisional Timetable

All timings and locations are provisional. Please check in your Oxonmoot Information booklet (OI), which will contain a map of the college, and will also give the locations of the event rooms. If you have not yet collected your OI, please ask for directions at the Porter’s Lodge or follow the signs around the college.

Friday

You can obtain your room keys from 2pm from the Porters’ Lodge. The earliest official opening time for Oxonmoot is the opening of registration at 5.30pm on Friday evening. Most of Friday afternoon and evening, though, involves people arriving, settling in, and meeting friends old and new. If this is your first Oxonmoot, please introduce yourself - much of Oxonmoot revolves around talking about Tolkien and his works, though a wide range of other topics are also discussed. The college bar will be open from 6pm to midnight, as will the Hospitality Room for tea, coffee and chat. Stewards (those who have volunteered to help run the event) should remember to attend any meetings that have been arranged for them by the Stewarding Co-ordinator on the Friday.

Those who are booked for the Friday welcome dinner should make their way to the College Dining Hall from around 7.30pm for an 8pm start. Wine is not included but will be on sale in the dining hall, and other drinks from the bar. There is no dress code: some people may be wearing jeans and T-shirts, others will be arriving straight from the office in crumpled suits, and others will be wearing their best frocks. Please dress for your own comfort and convenience, for others’ eyes, or an artful and creative blend of the two.

Both the bar and Hospitality Room will remain open during and after dinner. The Telerin Circle (informal readings from Tolkien’s works)is an event which often happens at some point after dinner - details will be posted on the noticeboard.

Saturday

Most of Oxonmoot takes place on the Saturday. There will be a range of event rooms and display rooms, including the Oxonmoot Art Show, the Dealers Room, and an Archive display. The day-time timetable starts at 9am, after breakfast finishes.

The talks and lectures will take place in three streams in the morning and afternoon sessions, either side of a break for lunch (1pm, talks restart at 2.30pm). Participation items include the popular Tolkien Quiz and Merry and Pippin’s Dance Workshop.There will also be a meeting of the International Tolkien Fellowship(representatives from Tolkien societies around the world).

Papers scheduled so far include: Two Horses and Their Royal Masters (Murray Smith); Laughing at Live Dragons (Heidi Steimel); The Inklings in Wartime (Colin Duriez); Arthurian Legend and the Inklings (Alexander Lewis); Sarumanic Heroes - the Ethics of Star Wars (Gwydion Madawc Williams); The Fate of Astynax (Jessica Yates); Looking Glass Worlds, the Land of Faerie and Advanced Mathematics for Engineers (Ian Spittlehouse); Becoming Like Sam (Charles Bressler and Zachary Rhone); The Hobbit as a Musical (Caspar Reiff); Black and White Ogre Country - an Introduction to Hilary Tolkien (Angie Gardner); JRR Tolkien, Poet Extraordinaire (Alexander Lewis); The Music in Middle-earth (panel) (Heidi Steimel, Murray Smith); Tolkien and Oxford (Bob Blackham); Tolkien's Bag End (Andrew Morton) and a reading from the books of Christine Davidson by Alex Davidson.

The day-time timetable finishes at around 5.30pm, at which point people go to eat (either in college, where there is a barbecue, or out of college) and get ready for the party in the evening at 8pm.

Saturday night is party time and one of the highlights of the weekend, with home-made entertainments (‘Ents’) the order of the day. People also take the opportunity to display their costumes during the party, at an event called the Masquerade. The entertainments are usually spread out over several hours.

Sunday

On Sunday, the central event of the day is Enyalië, a brief remembrance ceremony at the grave of Professor Tolkien and his wife Edith, in Wolvercote Cemetery. The ceremony includes a reading and reflection by the Chairman of the Tolkien Society, and the laying of wreaths. There is time for all to reflect in silence and fellowship. Following the ceremony, some people move closer to view the grave and wreaths. Coaches are provided from the college to Wolvercote Cemetery. Please assemble at the college’s main entrance at 10.20am sharp, as the buses will be departing promptly from 10.30am with the last bus leaving at 10.40am. The coaches are scheduled to return us to college by 11.30am. This will be the last official Oxonmoot event, though the college bar will be open from 11.30 am to 2pm, and some people choose to spend Sunday afternoon in Oxford before going home.

The Serious Bit

Oxford has bylaws, which you need to be familiar with. In particular: alcohol must not be carried openly in the streets, including sitting outside in public places; and weapons of any kind, even decorative ones, must not be carried or worn in the streets.

The college bar is bound by UK licensing laws. The bar staff must refuse to serve you alcohol if they believe you are under 18, or buying it for someone under 18, so bring some ID if you are lucky enough to look young.

As guests of Oxonmoot and Lady Margaret Hall, please remember that you represent the Tolkien Society and all its members. You must respect the law at all events, including private room parties, and treat your hosts and fellow guests with courtesy. In the case of room parties, the organisers of these parties are fully responsible for what happens at them; neither the Tolkien Society nor Oxonmoot will accept any liability.

The Tolkien Society, represented by the Oxonmoot Subcommittee, will support college staff in the event of any unacceptable behaviour. If the subcommittee feel unable to deal safely with any situation, they will not hesitate to ask the authorities to intervene. Anyone, whether in private or public, who breaks the law, or in any way brings the Tolkien Society into disrepute, will not be welcome at future events, and may have their membership withdrawn.

All events, meetings and announcements held at Oxonmoot must be organised through the Oxonmoot Subcommittee, unless the event is in your own bedroom. Please respect this and inform us if you suddenly have a good idea for something to do.

Children at Oxonmoot

Please note there are no child care facilities at Oxonmoot.

Parents (or guardians) of children who attend Oxonmoot are responsible for their supervision at all times. (This does not stop parents making personal arrangements with other Oxonmoot attendees to take temporary responsibility for their children. However any such arrangements will remain private arrangements between the individuals concerned). Children under 10 mustalways be accompanied by an adult who is responsible for them. Parents of any children under 10 without supervision will be asked to join their children immediately. Parents of older children are responsible for providing whatever level of supervision their children require.

Parents are asked as a matter of courtesy to other attendees to consider taking their child out of programme items if their child’s behaviour is likely to interfere with other attendees’ enjoyment of the event.

Parents are required to put emergency contact details on the back their children’s badges at registration (sticky labels will be provided). At a minimum this should include at least one attending parent’s name and mobile phone number.

Emergency assistance

If during the event you, or someone else, requires emergency assistance, and you are unable to obtain assistance yourself, please go to the Porters' Lodge (by the main entrance), where the porter on duty will be able to provide assistance or call the emergency services.

Left Luggage

Those staying in college must check out of their rooms on Sunday morning after breakfast and before Enyalië. The college will provide a left-luggage room where people can leave their luggage (probably till late afternoon if they wish). Please leave your luggage and return your key to the Porters' Lodge before departing for Enyalië.

If you, or a relative, need to contact someone at the event urgently, and you have no other contact numbers, please call Lady Margaret Hall’s Porters' Lodge on 01865 274300, and the college porter on duty may be able to help.

For camping, there is a campsite (Oxford Camping & Caravan Club) about two miles south of the city at 426 Abingdon Road. Phone: 01865 244088. This must be booked in advance.

The 2009 restaurant guide

Lady Margaret Hall is on the north side of the University Parks. Although it is 15-20 minutes’ walk from the main shops, there are some restaurants within walking distance, mainly in North Parade Avenue off the Banbury Road, and on Little Clarendon Street and Walton Street behind the former Radcliffe Infirmary. On the small map are two points marked B. These are the bus stops mentioned in the guide to getting to Lady Margaret Hall. PleaseNOTE the map on page 13 is slightly out of date.

Upmarket sausage restaurant - options average about £9.

Others include Al-Shami(Lebanese) off Walton Street on Walton Crescent, and the Oxford branches of Loch Fyne and Blanc Brasserie.

The Co-Operative store on Walton Street has a cashpoint.

Little Clarendon Street includes ice cream and bagel place George and Davis(breakfast till midnight) and a branch of sandwich chain Mortons (good at baguettes), plus chains like Café Rouge and Strada.
