Oxonmoot is an annual event hosted by The Tolkien Society which brings together over 500 Tolkien fans, scholars, students and Society members from across the world. Oxonmoot 2024 will be our 51st, and will be held over four days, from the afternoon of Thursday 29th August until the afternoon of Sunday 1st September, and will be held at St Anne’s College, Woodstock Road, Oxford and Online. Programme

The Oxonmoot programme will include talks, quizzes, lectures, workshops, the Oxonmoot Art Show, crafting, performances, papers, discussions, entertainments, slideshows, costuming, gaming and celebrating. There will of course as always be plenty of food and cheer and song! The event will finish as always with a visit to Tolkien’s grave on Sunday afternoon, known as Enyalië (“Remembrance”) — a beautiful and moving moment and a fitting reminder of what brings us together.

In this hybrid event, we will aim to make as much as possible of the programme available to both “in person” and “online” delegates, complementing this hybrid content with dedicated items for each group. Ultimately, our objective is to ensure that everyone gets a true “Oxonmoot Experience”.

The Call for Papers is now open! The deadline to submit a presentation is midnight UK time on May 12th.

Schedule

Oxonmoot 2024 will start on the afternoon (UK time) of Thursday 29th August and conclude shortly after lunch (also UK time) on Sunday 1st September. The first Online activities are likely to be in the evening UK time on Thursday 29th August.

Two types of registration are available:

  • Online Registration
    • A minimum of 3 days online attendance per connection/device, depending on your location
    • 2.5 days of papers and talks
    • 3 evenings (UK time) of special events and entertainments
    • Various discussions, workshops, crafts, art show, dealers, games and more throughout the event
    • Access to recorded video material after the event
  • Oxford Delegate Registration
    • All the benefits of Online Registration, plus:
    • 4 days in person attendance in Oxford
    • Lunch in college on Friday
    • Coach ticket to Enyalië on Sunday
    • Additional in-person activities

An Early Bird discount of £20 is available for adult bookings received prior to 1 April 2024 (GMT). Use the code EARLYWIZARD24 when booking to apply the discount.

Online registration is non-refundable. In person registration is non-refundable, unless we have to cancel the event due to national restrictions.

Delegates will only be able to register for one Online connection or Oxford Delegate place per booking, unless the second person is a child. All adults will need to book separately.

 

Volunteer for Oxonmoot

We are currently looking for volunteers for the following positions:

1) Admin – Data entry, communication with delegates leading up to and during the event, answering enquiries, and other duties as needed. A full outline of the role will be provided to candidates.

2) Shadow Chair – The person in this role will learn all aspects of planning, preparation, and running a successful Oxonmoot event, and will assist as backup for the current Co-Chairs in case of unforeseen circumstances.

3) Zoom Hosts, Online and in Oxford – Hosts will assist with running the online portion of the event, which includes (but is not limited to) welcoming guest speakers and presenters, fielding questions, and moderating sessions and breakout rooms. Full training is provided! This is a good role for anyone who is comfortable with online tech, and keeping sessions starting and ending on time.

4) Photographers – On-site in Oxford.

5) Oxford Tour Guides – Due to a high volume of requests, we would love to have one or two folks who will be attending in person, and are local to the area, and/or are very knowledgable with Tolkien & Oxford, and relevant places of interest, that would enjoy leading groups of delegates on tours.

6) Tech Volunteers – We are looking for volunteers on two different levels for this role:

“Rookies” –  No expertise is required for this role, just a willingness to help with set up and tear down, and support the main tech team onsite.

“Specialists” – This level is for anyone who is experienced with A/V setup and operation, video editing & recording, software, video conferencing, mixing sound for a live room, and/or streaming online, and more.

7) Video Processors – Process and edit video recordings from event, and get them prepped for release after the event has finished.

8) Merchandise – Will assist with pre-event process of t-shirt orders and distribution, as well as other duties as required.

Oxford Delegates – Meals & Accommodation

As above, for Oxford Delegates we will be providing lunch in college on Friday as part of the registration fee.

In addition, the Thursday evening meal will be available in college at an extra cost. This can be booked via the Oxford Delegate booking form. It is usually in the form of a buffet with dietary requirements catered for. A sample menu will be available closer to the time.

Please ensure you include information about any dietary requirements on your booking form even if you don’t book any additional meals, as we will need to take them into account for any free food that we provide.

Financial Support

We are conscious that some of our delegates will be suffering from financial difficulties as a result of the Covid pandemic, cost of living crisis, or other factors, while others live in countries with lower average income than others. With this in mind, we are pleased to say that we will be offering a limited number of reduced cost online memberships of Oxonmoot. If you would like to apply for one of these, please email the Co-Chairs of Oxonmoot at chair@oxonmoot.org before you book.

Postgraduate Students intending to submit a paper for presentation at Oxonmoot are eligible to apply for a Tolkien Society Bursary to cover the cost of their registration fee and, for in person delegates, up to £500 towards travel and accommodation costs. The call for applications for Bursaries date will be announced soon.

Overseas Delegates

Delegates based outside England who are planning to travel to Oxonmoot must comply with any health or travel related restrictions in place in England at the time they travel.  There are no current COVID-19 related or other restrictions for travel to the UK but this is not guaranteed and all delegates should check before they travel.

Delegates are responsible for ensuring they are aware of the regulations which apply to them. The Society and Oxonmoot cannot be held liable for any issues arising from delegate’s failure to follow the regulations.

If changes to the regulations mean that you find you cannot travel to Oxonmoot please notify the Bookings Officer as soon as possible. We will do everything we can to cancel accommodation and meal bookings without charge, though this may not be possible for changes after a certain date. Overseas delegates are recommended to ensure that they have travel insurance which includes cover for any travel restrictions related disruption.

Art & Dealers

As in previous years we are planning a hybrid art show we shall again be running a virtual art show alongside the traditional on site show for Oxonmoot 2024. The online Art Show will, as last year, be hosted in the Kunstmatrix exhibition platform, providing a 3D exhibition experience. A link will be provided for registered delegates.

It takes about 10 minutes to walk to St Anne’s from the centre of Oxford (nominally Carfax Tower), and roughly 20 minutes from the railway station.
